I did experience and old fashioned father who was verydominating and did not treat girls very respectfully. It was very difficult togain his respect and approval, if that is possible. I learned that men make thedecisions and women are not to doubt the man. We were never allowed to say no,or ask why. There was must physical abuse, as a way to control us. As an adult Iam sensitive to the fact that my father knew no better, even thought he scarsare still there. This story, as I read it again and again, made me feel thatmany girls are dreamers and have their innocence shattered by the reality oflife. How to Manage Freelance Writers A Stress-Free Guide The position of ââ¬Å"managing editorâ⬠à has evolved in a crazy way since the advent of digital publications and blogs. And whether you consider yourself an editor or not, the chances that you do someà managing editor tasks as a content marketer are high. Every marketer is working with content creators. Every marketer is making sure the words and images make sense. You may not consider yourself an editor, but if you manage other content creators, publish content using specific guidelines, or even proofread on a regular basis, you areà an editor â⬠¦ at least in part. But even though many of us are editors in our own ways, we still get questions like, ââ¬Å"What does an editor really do these days?â⬠For me, these kinds of questions bring up irrational feelings of frustration as I think to myself, ââ¬Å"What donââ¬â¢tà I doâ⬠But itââ¬â¢s a valid point- we are no longer in the days of traditional print media, where spelling errors are corrected with a big red pen and paragraphs are picked up and put down like weights in the gym. Instead, our jobs are digital and theyââ¬â¢re evolving. The myriad tools we have at our fingertipsà are at once saviors and curses as we attempt to navigate all the tasks and words competing for our attention. Being an editor comes with a lot of responsibilities, and requires a pretty wide range of skills. Not only do editors need to understand advanced writing techniques, they also need to be a superb manager of people and projects. The writers that create the content for our publications to thrive need leading! Being an editor comes with a lot of responsibilities, and requires a pretty wide range of skills.Now, this can prove to be extremely challenging, especially because most writerly folks tend to be introverted and prefer to work alone. When youââ¬â¢re an editor, and especially when youââ¬â¢re an editor of a digital publication and managing multiple writers, you must learn and master four specific foundational elements to be successful: Business Strategy (notice I didnââ¬â¢t just say marketing strategy!) Project Management Editing Writing Techniques Leadership Relationship Management As you can see, editing writing are only one part of being a successful managing editor. In fact, managing freelance writers starts way before we even hire the writers. Recommended Listening: How to Implement a Guest Blogging Process With Jess Ostroff from Don't Panic Management [PODCAST] Connect Marketing Strategy toà Business Strategy I could spend all day talking about why every piece of marketing needs to be rooted in your overall business strategy, but the short version is this: If you canââ¬â¢t attach your content marketing activities to the bottom line, youââ¬â¢re not going to have any content marketing activities. That means no writers, no editors, no graphic designers, no programmers, and certainly no social media managers to share your content. Iââ¬â¢m not trying to scare you, but itââ¬â¢s important to see the forest for the trees here, especially if you want to take your editorial duties to the next level. So, how can you put bottom-line growth in the forefront of your content marketing activities? Start here: Understand Your Audience When working with and speaking to marketers, I often pose a question that looks something like this: ââ¬Å"Are you a fiction writer? Or are you a marketer?â⬠Fiction writers write for themselves. Theyââ¬â¢re novelists, and they get to pick the subjects and the characters that make them happy. Not the case for marketers! We have to write for our audiences, not ourselves. So, the first thing to be crystal clear about is who is your audience?à What do they need to know? What problems are they looking to solve? How are they getting their information? What format of content do they prefer to consume? Marketers have to write for our audiences, not ourselves.Now, you may need to do some serious digging to develop a clear picture of who your audience is. And I always recommend creating an avatar or persona so that you can put a face and name to the audience, even if itââ¬â¢s fictional. Creating several personas is fine, too. I know many companies target different audiences along the way. But the important thing is to KNOW. And I canââ¬â¢t tell you how many clients and colleagues I come across who really donââ¬â¢t have any idea who their audience is and what they care about. This is a huge problem. Having a deep understanding of your audience allows you to craft your message and hone your story to reach your goals. After all, itââ¬â¢s the audience that ultimately determines your destiny. A little scary when you think about it, right? But more importantly, why does this matter? Why am I talking about audience in a post about managing writers? Because when you deeply understand your audienceââ¬â¢s needs, you can clearly communicate that with your writers, who can then create content specifically for your audience, who then, through their behavior, help you reach your goals. Itââ¬â¢s a win for everyone, and itââ¬â¢s where every managing editor must begin. Set Measurable Goals Goals come from the top down. Theyââ¬â¢re determined by the manager, the c-level executive, or even the owner of the business. Thatââ¬â¢s because theyââ¬â¢re related to bottom-line revenue for the entire business, not just the marketing department. Depending on the structure of your company, you may or may not be a part of the decision-making process when it comes to goals. Regardless, itââ¬â¢s important that you or someone on your team provides some historical metrics so that you can develop future goals for your content marketing efforts. Your goals may look similar to these: Increase website pageviews by 50% Increase email newsletter subscriptions by 100% Increase social media referrals by 30% Increase organic traffic by 25% Increase publishing schedule by 20% Pick the goals that you can track over time and donââ¬â¢t be afraid to refine them as you go. Even if youââ¬â¢re not in charge, itââ¬â¢s your job to inform the decision makers with actual data and results. Inform your decision makers with actual data and results.Develop Clear Guidelines Style Guides The great thing about guidelines is that you can always change them. Okay, that sounds a little nuts to say right away. But itââ¬â¢s my favorite part. Because your tools, your resources, and your goals are always changing, it seems reasonable to accept that you can change your guidelines. But Iââ¬â¢ve seen a lot of editors become terrified of creating guidelines and style guides because they think theyââ¬â¢re writing them in stone. Not the case! I want to mention this up-front so my type A perfectionists donââ¬â¢t get scared away. Guidelines are important. But theyââ¬â¢re not permanent. Make them. Use them. Adjust them. Use the feedback loop to always be making improvements. At the very minimum, make sure your guidelines include: Audience information Goals of your publication Expertise youââ¬â¢re looking for Tone Topic ideas Recommended word count Instructions on how to submit posts Any rules or restrictions If you want to have a little more fun with your guidelines page: Make a video to supplement the written ideas Provide incentives for submitting posts Hide an Easter egg Use humor (if it fits with your tone and style) Make the process fun Embed a form (instead of simply providing an email address) Be a human Here are some awesome guidelines pages that Iââ¬â¢ve seen recently, from which you can borrow ideas: Hubspotââ¬â¢s Marketing: Note how they share what they will and will notà consider. Okay, now you understand the basic business principles that your editorial strategy should adhere to. Itââ¬â¢s time to get to the nitty-gritty. Donââ¬â¢t let a long list of to-doââ¬â¢s get in the way of publishing amazing content. Set up a project management system that you can follow throughout your publishing schedule, from communications and deadlines to publish dates and URLs. Recommended Reading: The Complete 16-Step Marketing Project Management Process That Will Get You Organized Use (and Stick To) a Master Editorial Calendar Some of my favorite publications create certain days of the week for certain types of content, but you donââ¬â¢t have to have to create featured content every day to find value in an editorial calendar. There are tons of tools you can use for this (à being my personal favorite, Iââ¬â¢m serious!) but you can also start with a simple spreadsheet. Tip: If you're interested in trying , you can sign up for a free 14-day trial. At Donââ¬â¢t Panic, we have a master editorial spreadsheet in Google Drive for all of our clients. On the first tab, it includes a link to the writing guidelines weââ¬â¢ve developed for our writers so that no one has an excuse for not having them. It also includes a key that shows what each color means and where everything is in the process (more on process in the next section). We have a tab for each client and a column in each tab for the writer assigned, the title of the post, any notes about the post from the writer or the client, and various deadlines. There is also a column for status, which is where the color-coding comes into play. When a post is delivered or published, the rows get hidden so that the spreadsheet isnââ¬â¢t cluttered with old work. You can adopt a variation of this spreadsheet for your own writer-tracking purposes. Create a Workflow That Works Even if youââ¬â¢re the only person who manages your editorial process, you need a workflow to stay productive (especially on those days when no amount of coffee can keep you motivated). The best way to do this is to set up an easy, foolproof, step-by-step system that doesnââ¬â¢t require you to think about it every time. Work backwards from publish dates to determine what your process and deadlines will look like. I love to have all posts for the following week edited and scheduled by the Friday before if possible so I donââ¬â¢t have to be panicking about them every day. Itââ¬â¢s not always possible, especially if we have timely or sponsored posts to run, but you can corral your writers to meet the deadlines you set out if you plan out your own workflow first. Someà tips for that: Have all posts come in the same way, in the same format, to the same place.à That may mean that you have a form that accepts attachments, a Google Drive folder where everyone uploads their finished pieces, or you use a tool that allows writers to drop their drafts right into your CMS. Make sure deadlines are clear and are followed. Donââ¬â¢t keep writers around who canââ¬â¢t meet deadlines. There are many reasons for this, but for me, the main reason is because late drafts mean that I have to adjust my workflow. I like to set designated times for review and editing, and I canââ¬â¢t do that if Iââ¬â¢m missing content. This goes for initial drafts and any re-written pieces. You must set deadlines for everything! Set aside specific time for editing.à Editing in batches is often much more productive than editing in piecemeal. Use a color-coding system.à Perhaps blue means received, yellow means in review, red means awaiting re-write, green means approved, and grey means scheduled. This is especially helpful if youââ¬â¢re working with a team, but even if youââ¬â¢re on your own, it takes the guesswork out of where in the process you are for each piece so you can stay on track. Overcommunicate. Writers need a certain level of herding because theyââ¬â¢re often working on a lot of different content at once. Make sure that youââ¬â¢re being abundantly clear about where youââ¬â¢re at in the process and what you need from them. This keeps everyone happy and on track. Are you a blog editor? Here's how to corral your writers. If you have other elements in your process that need to be done, such as graphics and social media messaging, include them in your writer management process even if it means bringing in other designers or social media managers. Having fragmented processes for different teams is ineffective. Create a cohesive process for all of your editorial tasks, even if they involve people outside of your freelance writing team. Overall, the workflow creation is really about knowing yourself. And as the manager, you have a certain level of authority over what the process is. So please think deeply about what will work best for you, roll out the process to your writers, and stick to it if you can. Trouble comes when youââ¬â¢re always reinventing your process and forcing writers to do the same. Set Up a Separate Mailbox If your submission process looks anything like mine, the emails and attachments and questions I get in my email are enough to drive a person mad. And I get it. Writers work hard on their posts, so if you donââ¬â¢t get back to them with approvals right away, they get antsy. But setting up a separate account (such as submissions@ or guestposts@ or editor@) to deal with your articles can help set the expectation among writers (and make you feel a little more sane in the process). You have my permission to set up the process that works for you, and that includes looking at, reviewing, and scheduling content when you have the time and are in the mental space to deal with it. And to make this even easier, consider setting up a separate email box just for your editorial management duties. That will allow you to compartmentalize and batch the work you do with your writers so you donââ¬â¢t get bogged down and pulled away from your other duties. Because I know that if youââ¬â¢re anything like me, you wear many hats and need to focus on different tasks at different times! And while writing rules change over the course of time, there are several important ones that you should always look out for: Passive voice Apostrophe misuse Unclear/incorrect pronoun usage Fragments Extra/missing commas There are also always those pesky effect/affect issues, problems with semicolons, and the en-/em-dash debate. If youââ¬â¢re not clear on what you should be editing or simply want to brush up on your editorial chops, I recommend browsing Grammar Girlââ¬â¢s postsà or listening to her podcast. also has some editing tipsà from the writing perspective that will help guide great content. It behooves you to review your expectations with writers from an editing perspective. It behooves you to review your expectations with writers from an editing perspective.Cut, Cut, and Cut Some More Many editors follow the 10-15% rule, which means that 10-15% of every article is superfluous and can be cut. Consider what pieces of your articles either donââ¬â¢t add value or are superfluous and get rid of them. Writing more for the sake of a word-count requirement is not effective, and generally lowers the quality of the piece. If youââ¬â¢re having trouble getting writers to produce enough about a certain topic, then they either donââ¬â¢t know the material or the topic is too narrow to be covered as an article. If the latter is the issue, try other types of media (like video) to explore that topic instead. #Editing Tip: Cut 10-15% from every article.Understand Leadership Relationship Management Fortunately (or unfortunately for some!), being a managing editor means you have to work on, well, managing people! That means that you have to refine your leadership and relationship skills, whether you like it or not. Managing relationships is a craft that must be fine-tuned over time, but I wanted to share some ideas that you can start implementing immediately to become a better manager. Some focus mostly on grammar, spelling, and general formatting edits. But some of the best editors are the ones who are really great at making sweeping edits within each piece of content to make it sound intelligent and cohesive. Let your writers know what sort of approach you like to take and how that will affect their final written product. This way, they can be prepared for the changesâ⬠¦ and their ego doesnââ¬â¢t run the risk of being bruised! Recommended Reading: How to Save 10 Hours a Month Like Convince Convert With Marketing Project Management Software Provide Ongoing Feedback No one likes to receive criticism, but you can lessen the blow of negative feedback by simply providing someà sort of feedback, both the good and the bad, every time. That way, your writer doesnââ¬â¢t fear hearing from you (which happens if youââ¬â¢re only getting in touch with bad news) and youââ¬â¢re able to put them in the position of receiving and implementing feedback on an ongoing basis. Now I know this puts more of a burden on your as the editor because it means you have to take the time to craft some feedback for each deliverable, but you donââ¬â¢t have to write an expose every time. Even a simple, ââ¬Å"Great article, I loved those creative examples you used!â⬠or, ââ¬Å"Donââ¬â¢t forget to put compelling subheads to break up your text!â⬠or something as basic as, ââ¬Å"You ROCK!â⬠keeps your writers engaged and gets them used to hearing from you as you build the relationship. Good editors give writers positive encouragement.Receive Ongoing Feedback The chances that your current editorial system is perfect are slimâ⬠¦ because nothing is perfect! Now, I caution to be careful not to lose sight of the fact that when you ask for feedback, youââ¬â¢ve got to be prepared to hear things you maybe didnââ¬â¢t want to hear or werenââ¬â¢t expecting. Youââ¬â¢re in charge, so take each piece of feedback with a grain of salt, but I donââ¬â¢t recommend asking for feedback unless youââ¬â¢re prepared to listen and potentially make changes as a result. Don't ask for feedback unless you're prepared to listen.Provide Incentives for Great Work The worst thing in the world for a manager is losing a great team member. In order to encourage retention among the writers you love, consider finding creative ways to reward them for a job well done. Consider putting a rewards system in place where you celebrate the success of your team when original business goals are met. For example, if you had one breakout article that contributed to a massive increase in pageviews, give that writer something as a thank you. A social movement refers to collective effort organizing from the people for their development and to bring social change in the society. Community mobilization is often used by grassroots-based social movements, which includes revolutionary movements. These gatherings usually are part of a protest action. These are the different ways by which a community can be mobilized and can raise voice for the demand of development of the community. Modern Western social movements became possible through education (the wider dissemination of literature), and increased mobility of labor due to the industrialization and urbanization of 19th century societies. Social movements have been and continued to be closely connected with democratic political systems. Occasionally, social movements have been involved in democratizing nations, but more often they have developed after democratization. Modern movements often utilize technology and the internet to mobilize people globally. Adapting to communication trends is a common theme among successful movements. Research is beginning to explore how advocacy organizations linked to social movements use social media to facilitate civic engagement and collective action. Social movements are any broad social alliances of people who are connected through their shared interest in blocking or affecting social change. Although social movements do not have to be formally organized. Social movement is always an important tool to bring the change in society and as well as to mobilize the communities for their own development. By arranging people in mass meetings, parades, marches, discussions on various issues, movements for stressing the education of people, bringing the concept of democratization in light communities can mobilize through theses social movements. Social movements are always a part of society, and people may compare their options and make rational choices about which movements to follow. As long as social movements wish to be success, they must find resources (such as money, people, and plans) for how to meet their goals. Furthermore, for organizing successful social movements and mobilizing the people there should be strong and effective networking with other organizations especially the organization which are exist in the local community. There has to be proper networking and strong communication even on the grass roots organization which are working locally in the community such as Church groups, clubs, special interest organization, local schools, hospitals , recreational groups and other community groups can support the social movement and through effective and strong networking with the above organizations we can mobilize the communities. Physical concentration is also necessary for organizing successful social movement and for mobilizing people. We should bring people into closer proximities in cities, factories, local university campuses which help the social movement to get into the right direction for mobilizing people for their betterment in society. Also a co-optable communications network should be there to speed up the social movements for mobilizing the people and to spread awareness among the people. As we know that the greater the number and excessive participation of people builds a strong network which leads to mobilizing the greatest number of people. Also for maintaining the above and to get a fuller participation of people and to mobilize them we need to able ourselves to maintain the resources within and outside the community. We should also provide the equal opportunity to each and every unit of the community. We cannot let the youth and other units to go. We need to encourage every individual with n o matter of his / her own personal identity. We need to motivate people to participate actively in the social movement and consider the point of availability in our mind. As People with full time jobs, marriage and family responsibilities are less likely to participate in social movement activity. Autonomous individuals with few personal responsibilities such as college students and single professionals are much more likely participants. On the other hand, for mobilizing people without considering them as particular unit of society, we need to encourage them for their maximum participation. Through motivation and encouragement we can mobilize people and can make them ready for their community development. Individual groups It is always easy to start a fire and involve a number of people. Community members need to choose certain people whose role will be to keep the fire of community mobilization burning. In this guide these people will be called motivators. People in the community know each other very well. Take time to carefully choose honest people who are respected by others, and who can encourage others to work well together. They need to have some time and energy available, have a desire to bring change and be willing to work free of charge. Each community should select two or three motivators. The people chosen will need equipping and support in their role. Each local area has a number of different kinds of resources. People use these resources to keep alive and to cope with changing seasons, political change and cultural pressures. Helping people to understand and to value the different resources they have is very important. These are the main kinds of resources: _ Natural resources include land, trees, forests and water. _ Human resources include the skills, knowledge, understanding and labour of local people. _ Financial resources include money, access to credit and loans, credit unions and government support. _ Social resources include the culture, traditions, organizations, friends and extended family. _ Physical resources include buildings, tools, roads, water pumps and transport. _ Spiritual resources are the strength and encouragement that people gain from their faith. Local people already know more than any outsider about their community and the people living there. Many people assume they know everything about their local area, but there is always more to learn and understand before making new plans. Take plenty of time to help people in the community to tell their story together. One very effective way of doing this is to draw maps, either using clear ground with sticks, leaves and stones, or if available, large sheets of paper and pens. Encourage small groups to draw different maps to show: the natural and physical resources in the area (hills, forests, roads and rivers, for example) -where people live, noting important people and organisations -how the area looked 50 or 20 years ago (only for older people). So for mobilizing communities, individual groups can do the social mapping of the community so that the people can aware about the present problems in the community. Another helpful way to focus on key issues within the local area is to encourage people to prepare a role-play to express their concerns. As people discuss what subjects to use, they will often focus on important issues. However, they are also likely to share these in funny ways. Laughter has a way of taking the pressure out of a situation, helping people to discuss sensitive issues, sometimes for the first time. Again, encouraging people to work in small groups is another way to mobilize the communities. Having chosen their first priority for action, local people need to decide whether they have enough information to take action. For example, if education is identified as the priority, people may need more information about the problems and whether they are at primary or secondary level. The problem may be poor attendance and, if so, there is a need to find out why. Considering electing teams of local people to gather relevant information is another way to mobilize the communities. Choose people who can be trusted and who know their community well. Before sending teams out to gather information, take plenty of time to decide exactly what kind of information is needed. Apart from this, conducting role plays- street plays in the community is always a good strategy to mobilize the maximum number of people and to preparing them for a social action. Also, identifying an existing committee or a community-based organization which can give individual groups access to the community and facilitate distribution ofà messages. Meeting the host community and the authorities is important to reach out the goals for community development and mobilization.à Messages might only reach certain groups, such as community leaders, and not all members of the community.à Developing outreach strategies with the leaders and others to ensure that everyone is informed, including women, girls and boys, minority groups, and people with mental and physical challenges. Making sure that information is delivered in a language everyone can understand, is culturally sensitive and is correctly perceived and understood.à As always communication should be effective and strong for the mobilization. Arranging meetings at mutually convenient times. As far the mobilization concern, for development of any community individual groups should make positive rappor t building among the community with key people- like facilitator, leaders, service providers etc. and whole community as well. A good rapport building is effective strategy to mobilizing the people.à à à Transparency, respect and consistency are essential for building trust, confidence and collaboration between organizations and partners, including members of the community.à Also individual groups have to make ensure that after the first contact immediate follow-up action is taken or not.à Orienting the Community is another way to mobilize the people. The first step in mobilizing the community is to orient them to the process.à This can be done in a number of ways, including written communication, television, radio, or an organized meeting.à Meetings are more personal and conducive to building relationships.à They also facilitate two-way communication where questions can be answered efficiently. As groups can motivate community people for their maximum participation in every discussion as they should feel that they are the key part of it. à Also to start these meetings as soon as possible, so that trust and a positive working relationship can be built between parties. Having the meeting sponsored or hosted by a respected individual or group within the community can add credibility to its agenda.à This may happen through a church, school, tribe, or other local group. à Utilizing community leaders also increases the chances of reaching a cross-section of the population and not just a narrow representation. It is essential that all members of the community receive word about mobilization and how they can be involved.à Outreach is prominent to those who are isolated, vulnerable or considered marginal is critical. If they cannot personally attend a meeting, it is important that they be represented in some way. Individual groups should take care of these things before conducting any activity as part of the community or within the community. An only arranging meeting is not as sufficient. The goals of the meeting must be carefully considered and reflected in the agenda.à Community leaders can provide assistance presenting the information in a culturally appropriate manner. Some of the community leaders may be chosen to convey topics with which they are familiar.à During this meeting, it is important to invoke the input of the community. Identify their needs and begin to priorities how those needs will be met.à Individual groups sho uld know that this meeting will be an opportunity to develop an awareness of what the contributing organizations can provide, and also an opportunity to learn about the strengths and resources of the community. It will be important to define mutual goals and develop a plan as to how to reach these goals.à This will include organizing individuals to work together and coordinate services.à Proper organization of every resources and management is necessary to mobilize the people. Also individual groups should develop ongoing ways to communicate for mobilizing the people. Once goals have been defined and a plan has been developed, it will be important to identify ongoing ways to communicate.à Rather than having large meetings, cluster meetings of project staff, community leaders and community members working on similar tasks are more manageable and efficient.à The groups should begin team building with all team members (internationalà and national staff, community leaders and community members). It is vital that marginalized and vulnerable people are included in these teams.à Intervention with the community may be required for them to allow marginalized or isolated members of their community to participate in a team.à Working in small teams that include affected people as well as outside helpers.à Team leaders should meet daily for sharing of information, planning and coordination. Not all teams will be required for all emergency response projects. Some people may be a member of more than one team. Conclusion: It is to be concluded that for continuous community development mass awareness, people mobilization is very important. In our society there are different resources which can perform to mobilize the community. But one should only need to generate these resources within the community or outside the community. Maximum resource utilization and mobilization of people are key things for developing any community. This will involve the transferring of their legacy system into a more advance human resource networking system. The company is asking for a proposal that will describe the techniques that will be used in order to gather the information that will be needed for the transformation. Also, the proposal will give a detail analysis that will be included in the design methods that will be involve in the configuration of the new system. Within the proposal, there will be a listing of the key factors that reinsure the organization that the information that was obtained was gathered successful. And as the conclusion, an explanation of the scope and feasibility of the project will be exhibited. The process will be implemented a collaboration of phases within the systems development life cycle. The initial process begins with the developing a team that will be design to handle any situation that may come during the course of the project. This part of the process is prudent in order to accomplish the goal of the project; in which is the successfully redesigning the H & R department of Riordan. Therefore, with the collaborated efforts of the team and Riordan's I. T. department, the process will be implemented in a collaboration of phases that is established by the systems development life cycle. The beginning of the cycle involves the planning phase. Defining the problem will be the first agenda that will be address in the proposal. Riordan's Human Resource department is the problem domain. It is currently composed of independently-filed paperwork that is maintained by each managerial personnel. Managers are also responsible for the tracking of FMLA absences. A change to any employees' information is submitted onto special forms by the employee's manager and process by the payroll clerk. Training and developmental files are established on an Excel spreadsheet and is maintained by the training and development specialist. Records about the workers' compensation are maintained by an independent contractor. Each recruiter maintains applicant information for open positions. Resumes are filed in a central storage area, and an Excel spreadsheet is used to track the status of applicants. The compensation manager keeps an Excel spreadsheet with the results of job analyses, salary surveys and individual compensation decisions. Employee relations specialists track information about complaints, grievances, harassment complaints, etc. in locked files in their offices. The problem that exists within the human resource department is the absence of an automated networking system. Second, there is not limitation set on those who should be included in dealing with these confidential files. Next, there is not a centralized hub established that can maintain all of the records that need to be kept about the employees for Riordan. Third, the contracting of a third party provider to maintain confidential records of each individual that work for the Riordan Manufacturers is probably is not the best alternative to maintaining the security of the individuals' information within the organization. The project will begin with the evaluation of Riordan's I. T. department. Once the previous steps has been initiated, there would be a meeting with the corporation is in order to determine the budget for the needed recommendations as well as to determine the length of time the corporation is requiring for the team to be able to finish the proposed upgrades. This is crucial because this will determine the set budget that the team will be obligated to use during the transformation; in which the proposed budget for this operation is set at $150,000. The proposed time will set at three months. The next step is the documenting of the project plan at this stage of project development will help team members adhere to the established strategy, schedule, budget, and definition of quality during the course of a project. The records will reflect the project overview. Within the project overview, there will be a detail description of the project scope and technical information. Then the team will record the project's strategy, schedule, budget, quality definition, and compile the information into a management plan that will be distribute amongst the team member. Once the previous stages of the cycle have been met, the team will decide if the scope of the project, and in conjunction with the set innovation budget established by Riordan, is feasible to achieve the renovations that are required for the H & R department. The team has established that need for the renovation is relevant for Riordan Manufacturing. Second, the team have established that the proposed renovations will is definite a need for the Riordan. A simulation of the proposed system is suggested to be carried out to predict the outcome before the actual project starts. Now the team will develop a written quotation that will acknowledge the quotes from the suppliers and technicians to guarantee that the renovations will not exceed the set budget. Once these conditions have been met, the team will instruct the manufacturer that the conditions have been met and set a date of which the operation will begin. To begin the next phase, the team will design an architectural design to establish the layout of the proposed plan. This process will give a detailed description of how the H's activities will be performed. The system analyst will also include a description of the information system's architecture in accordance of the data, processes, interfaces and network within his or her report. The system analyst's primary goal is to eliminate H&R's processes that is comprise mostly of paper forms or electronic files that scattered throughout different departments that do not link together. The goal is to put in place a fully automated HRIS that achieves improvement in the accuracy and currency of data. Also, the system will allow the tracking of individuals that are moving throughout the Riordan's system. Furthermore, the system will be able to quickly aggregate, analyze, and use data in more of a real-time transaction. It will be able to give projections of potential needs of the workforce; while decreasing the labor requirement that is currently employed within the H&R department. The system analyst's plan is to design the HRIS system using a distributed architecture. This particular architecture is design with the amenities that are required to develop a more centralized H department. The H central location will be at the corporate office. The corporate will be the site of the centralized mainframe computer that is server-based. This will allow user to access date concurrently within a secured environment. Data will be store on a centrally-based database unit. The database unit will allow easier updates, searching and analysis of information collected within the system. Another characteristic of the new system will include web-accessibility. Web-accessibility will allow the interactions amongst the Riordan's HRIS system to be access by way of the Internet. This will eliminate the installation of client applications to each users' individual desktop; and at the same time, reduces the time that is involve in deployment and training requirements. This procedure will allow immediate accessibility for anyone with an Internet or LAN connection. The new system will allow scalability and extensibility. A system of wireless devices will be installed in each location. This will allow the H department to network with the other facilities; hence, developing a LAN. Once this procedure has taken place, a Wan will be developing to connect all of the facilities to the corporate location. Any user or outside entities will have access to information through the Internet. An intranet will be established for those that are employees of Riordan. Password-protected login logarithms will be put in place for security stability. There also will be role-based accounts set up to prevent non-authorized staff from the viewing of confidential data that only should be access by upper management positions. The new system design will provide HRIS with total automation; thus, providing a standardization of all manual processes. The upgrades will be performed on the current network at all three facilities, chronologically, to ensure implementation of the system is accomplished without any issue. Now the design of the new H & R department has been established, the team will now begin the project. Riordan has approved the proposed plans and now it is time to begin the implementation phase of the project. During this process, the team will be implementing the proposed plan using a strict process that will allow them to be aware of any problems that they may face while executing the plan. The process will take an approximately 6 months, allowing the team to deal with the formalities of the process and the geographical areas that the team. This process involves six points of implementation: (1) coding, (2) testing, (3) installation, (4) documentation, (5) training, and (6) support. The application that is being installed will allow the H & R department to communicate by way of the Internet or Intranet. The team will begin at the corporate office first. The team with the collaborated efforts of Riordan's I. T. department, with begin initializing the new applications to one of the servers. This will allow the team and the I. T. department to analyze the performance of the new application within the system. Once the application has been tested, the team will direct the technicians to proceed onto the remaining servers. This process will be documented to assure that it was successful. Afterwards, the process of re figuring each of the desktops will be initiated. During this process, the team will be programming the computers to accept the new that was installed in the servers. A build and smoke test will be use by the programmers to eliminate any errors within the application. Once the programmers have acknowledged that the process has been tested and documented with no errors, then they will proceed onto the installation process. The installation process will involve installing wireless devices among their Ethernet connections. There are two benefits for the installation of these equipments. First, the Riordan organization will be establishing a WAN amongst their companies in America as well as Japan. Second, the processes of the H & R department could be executed through the company's Intranet cite. This process involves connecting the wireless bridge to where the current modem now resides. Afterwards, each computer will be program to accept the new signaling that will be established with the installation of the wireless devices. Once the previous process has been established, the team will finally begin the process of transferring of the legacy files onto the new system. The team will outsource this project. The outsourced team only job will be to gather all of the paper files and old data that was store in the server and apply them to the new application. This procedure will be somewhat timely, but will not exceed the budget. While trying to achieve the expectations of an utomated H & R department, the team will initiate a parallel operation. The team will is using this process to eliminate the risk of system failure and losing all the data that was inputted by the outsourced team. This process will last about two weeks to give the team to analyze and rectify any situation that may happen. The team will now begin to document the response of the new system. If the prev ious process goes according to plan, then the team will begin the training process. The team will train all the users of the new system, as well as some of the I. T. professionals that work for Riordan's corporate office. The training process will take approximately two weeks. The ultimate goal of the training is to allow the users to understand the new system. The employees will be trained on different areas such as setting their login logarithms, as well as the navigation of the website. These training will also be documented. The team with create a support staff for that will be trained for quick response time. The support staff will also be able to initialize performance tests. The staff will be on-call and also can be reached by way of email. Also users can fill out change request and error reports to the support staff. These requests will be evaluated and performed in a sense of urgency manner. Their will be quality assurance personnel embedded within the organization to assure the quality of the new system.
